What’s an Au Pair Program and Why You Need to Translate Documents¶
Au Pair (French for “on equal terms”) is a cultural exchange program where you live with a family abroad, help take care of their kids (max 6 hours per day, 30 hours per week in Germany), and in return get housing, meals, pocket money, and a chance to learn the language. It’s not regular employment - legally it’s a cultural exchange, which is why visa requirements differ from work visas.

Which Documents Need Translation for a German Au Pair Visa¶
Germany is the most popular destination for Ukrainian Au Pairs. According to German Embassy in Ukraine requirements, you’ll need:
1. Autobiography (Lebenslauf)¶
This isn’t just a resume - it’s a detailed chronological description of your life: where you were born, where you studied, where you worked, your hobbies and skills. Write the original in Ukrainian, then translate it into German. Submit both versions together.
The translator needs to know the German Lebenslauf format - it’s different from a typical CV. For example, it includes marital status, date of birth, and even your parents’ occupations - things you wouldn’t normally put in a CV.
2. Motivation Letter (Motivationsschreiben)¶
Here you explain why you want to be an Au Pair specifically in Germany, what attracts you about German culture, and how this program will help your development. Again - original in Ukrainian + German translation.
Tip: don’t write generic phrases like “I want to explore European culture.” Be specific: “I’ve been studying German at the Goethe-Institut for two years and want to improve my conversational skills by living in a German-speaking environment. I enjoy working with children - I led a drawing class for kids aged 4-7 in my city for three years.”
3. German Language Certificate (A1 level)¶
For a German Au Pair visa, you need at least an A1 certificate from an organization recognized by ALTE (Association of Language Testers in Europe). In practice, that means:
- Goethe-Institut - the most popular option, Goethe-Zertifikat A1: Start Deutsch 1 exam
- telc GmbH - telc Deutsch A1 exam
- ÖSD - Österreichisches Sprachdiplom Deutsch A1
The certificate must be issued no more than 6 months before your application. Exam cost: UAH 2,800-4,300 in Ukraine (Goethe-Institut Kyiv). This document is submitted in the original - translation usually isn’t needed since the certificate is already bilingual.
4. Criminal Record Certificate¶
Get it in Ukraine, get an apostille from the Ministry of Justice (UAH 1,495, processing time 5-10 business days), then have it translated into German by a sworn translator (vereidigter Übersetzer).
Watch out: the criminal record certificate is valid for 3-6 months (depending on the specific embassy’s requirements), so don’t get it too early. Best timing: 1-2 months before submitting your application.
5. Medical Certificate¶
Must include information about: chronic conditions, allergies, vaccination history, hospitalizations, mental health status. The doctor prints, signs, stamps, and dates it. Valid for a maximum of 3 months from the issue date.

Translation into German by a qualified translator. If the certificate contains specific medical terminology, make sure the translator has experience with medical documents.
6. Birth Certificate¶
With apostille + translation into German. Apostille through the Ministry of Justice, translation by a sworn translator.
7. Diploma or School Certificate¶
Translation of your diploma or school certificate is needed to confirm you have at least secondary education. Apostille through the Ministry of Education (UAH 990 standard / UAH 2,700 rush 1-day processing).
8. Au Pair Contract with the Host Family¶
This document is usually already in German or English, so no translation needed. But make sure it specifies:
- minimum pocket money: €280/month (AuPairWorld)
- working hours: max 6 hours/day, 30 hours/week
- family’s contribution to language courses: €70/month + transport costs
- number and ages of children in the family
- program duration: 6-12 months

Au Pair Document Translation Requirements in Other Countries¶
France¶
France has its own sworn translation system (traduction assermentée). For an Au Pair visa (VLS-TS) you need:
- all non-French documents translated by a certified translator (traducteur assermenté)
- birth certificate and criminal record - with apostille
- proof of enrollment in French language courses (minimum 3 months)
- Au Pair contract approved by DREETS (Direction régionale de l’économie, de l’emploi, du travail et des solidarités)
Visa cost: €99 + €200 validation fee after arrival in France. Pocket money: €320/month.
Age: 18-30 - wider range than Germany.
Netherlands¶
Everything goes through an agency recognized by IND (Immigratie- en Naturalisatiedienst) - you can’t apply on your own.
Documents need to be translated into Dutch, English, French, or German (your choice). Birth certificate requires an official translation for BRP (personal records database) registration.
IND application fee: €423. Pocket money: €300-340/month.
Key restriction: age 18-25 (the strictest limit among popular countries), must be unmarried with no children.
Austria¶
For Austria, you need a certified German translation:
- birth certificate with apostille + translation
- criminal record with apostille + translation
- Au Pair contract (signed before arrival)
- confirmation of registration with the Austrian Employment Service
As Austria’s Federal Ministry of Foreign Affairs states:
Foreign documents must be provided with certified German translation. Birth certificate and criminal record require apostille plus German or English translation.
Age: 18-28. Pocket money: €551.10/month (significantly more than Germany!) + bonus for 12-month stays (3 additional monthly payments).
Visa processing time: 4-12 weeks.
USA (J-1 Visa)¶
In America, the Au Pair program runs through the J-1 cultural exchange visa. The process is different: first, an accredited designated sponsor agency selects you and issues form DS-2019, then you apply for the visa at the embassy.
Documents for translation:
- criminal record - English translation with certificate of accuracy
- medical certificate - English translation
- diploma/school certificate - English translation

Common Mistakes When Preparing Au Pair Documents¶
1. Submitting an Incomplete Package¶
As AuPair.com warns:
If candidates hand in documents with important ones missing, the visa application will be refused. In most cases, the embassy won’t ask to provide those documents - make sure the file is complete.
The embassy won’t call and ask “where’s your motivation letter?” They’ll just return the whole package. Check the checklist twice before submitting.
2. Expired Documents¶
Criminal record and medical certificates are valid for 3-6 months. If too much time passes between getting the certificate and submitting to the embassy, you’ll need a new one. Best strategy: start with “long-shelf-life” documents (diploma, birth certificate), get the criminal record and medical certificate last.
3. Wrong Type of Translation Certification¶
A notarized translation from Ukraine isn’t the same as a beglaubigte Übersetzung from a sworn translator in Germany. For embassy submissions, Ukrainian notarized translations are usually accepted, but Ausländerbehörde in Germany itself may require a translator from the justiz-dolmetscher.de database.

4. A1 Certificate from an Unrecognized Organization¶
The embassy only accepts certificates from ALTE-recognized organizations. If you passed an exam at a local language school - that won’t count. Only Goethe-Institut, telc, or ÖSD.
5. Missing Apostille¶
Birth certificate and criminal record MUST have an apostille. Without it, the embassy won’t accept the document. Many applicants forget about this and show up at their appointment without the apostille - forcing them to reschedule and wait several more weeks.
